Troy Community:

The past few months have proven to be productive for IT. A number of large projects completed and several new, promising efforts started. The new format of the IT Update offers an opportunity to investigate efforts by functional area. We hope you enjoy the publication. Don't hesitate to contact me with any concerns or questions.

University Wide News

IT Summit

The 2013 IT Summit was a success. Over 700 employees participated in the event in-person or remotely. This year's event included 70 sessions with 12 unique vendors and University departments contributing to the event. The Summit offered over 288 hours of informative and hands-on training to our University constitutes. We appreciate those who were able to attend the event.

Feedback during and after the IT Summit have assisted in the development of the 2014 IT planning schedule. We look forward to the 2014 IT Summit.

Parature 13.1 Release

During the week of September 16, 2013, eSystems started a review of new features and enhancement deployed in the current release.  These features will be rolled out as each one had been tested.

CRM Updates

During the week of September 23, 2013, eSystems added a new reporting queue for all Datatel reporting.  All reports will be managed from a central queue.

Digital Displays

During the week of September 23, 2013, Technical Services assisted with the installation of digital displays at the Phenix City campus.  The unit was configured to post announcements, weather, and pictures and will be used as an emergency alert notice if needed.

EchoSign Workflow Development

As of September 30, 2013, we have eight forms deployed with automated workflows. We have five forms that are currently being developed with the automated workflows and ten that are in the review process. 

Relocations

The Troy location on Hurlburt AFB and Fort Benning were relocated. Troy Norfolk moved to a new location in Hampton Roads, Troy San Antonio has moved to a new location in San Antonio. IT moved all network equipment, wiring and set up computers.  IT worked with our telecom vendors for minimum disruption for our students

Security Cameras

Cameras where installed at the Pensacola location to assist in proctoring, and security. 

Digital Signage

Digital Signage has been installed in Atlanta and Covington for student information and assistance.

Wi-Fi

A wireless system has been installed at the Brunswick location for student use.

Servers

Servers from Troy were reconfigured and deployed at Troy's Fayetteville and Clarksville locations. 

Web UI

The new web interface for the Datatel Software is now available for all users. Training is now being held by the IT Department during the months of September and October to prepare for the phase out of the desktop version. The date for final implementation of the web UI version has been set for October 21, 2013.

Academics Division

Datatel

Instant Enrollment/Continuing Education

The Instant Enrollment workflow allows a person known or unknown to Datatel to register and pay for any course, all in one web session. Registration and payments are processed online and now available through Trojan Web Express.

Networking

Gigabit Switch

Connected a Gigabit switch for School of Business in their server room to enhance server connectivity for their departmental servers.

Wireless Network

Networking built a wireless network for School of Education for teaching methods specific to Apple products.

Systems

Imaging Toolbar Test

Systems has been working closely with Financial Aid and our imaging vendor with testing of an add-on toolbar for the Document Imaging System. The toolbar will allow the user to retrieve supporting documents from the imaging system while they are working within WebUI.

Imaging Training

During the month of August 2013, Systems offered two training sessions that covered the WebExtender interface for imaging. In these training sessions users were shown features that they may not have been aware of and how to use the system more efficiently using shortcuts, functions, and advanced query searches.

Art Department Server

Assisting the Art department in leveraging the spectrum server to transfer lab assignments to and from students.

Document Imaging Transcript Report

Systems created a customized report from the imaging system containing the number of transcripts scanned for eTroy.

Technical Services and eSystems

Library Computer

An all-in-one computer setup in the library for student use was having issues and was not repairable. Technical Services reached out to our Lenovo rep for additional help and Lenovo sent a replacement all-in-one PC since the other could not be repaired.

Patterson Hall

Technical Services reconfigured Deep Freeze software in Patterson Hall to be more efficient on May 3, 2013. Deep Freeze helps maintain the life of the PC by managing updates during a scheduled thaw time and reboots daily to prevent any malicious threats by malware or virus. On May 16, 2013, PAT Hall has received 17 new computers for the classrooms and Technical Services created an image for the new PC's. The image included IT standard setup and also included McAfee 8.8, VLC, QuickTime, SPSS software and MS Office 2010. A new Deep Freeze configuration was completed and installed on the 17 PC's to protect from virus and malware intrusions. The old PC's are being stored in the closet on the third floor until notified of their destination. On July 9, 2013, Technical Services completed the project of cleaning up and re-imaging 17 old computers that was replaced this year for Pat Hall. The old PC's was upgraded to Windows 7 operating system and configured to IT standard setup process. Two of the PC's were unrepairable and will be sent to Asset Management by Academic Support.

Social Services Lab

On May 15, 2013, Technical Services completed the upgrade to the lab for Human Services, Rehab and Social Work and added 10 additional PC's to the 65 total. The lab now consist of 75 computers set up for classes and testing environment. Since some PC's are not updating correctly and others are not working properly.

GIS Geography lab

Technical Services assessed the Geography GIS lab in MSCX on April 18, 2013. This lab has 28 PC's with a projector installed some special software for GIS. We quoted Deep Freeze software and will update the lab with the software as soon as the software is delivered. Two PC's would not start up resulting in bad power supplies within the PC. Technical Services located old unusable computers in Asset Management inventory to get the power supply part out of and installed in the lab PC's on May 9, 2013. This resulted in not having to purchase two new computers and saved departmental funds by recycling. On May 21, 2013, the lab was updated to include a new version of McAfee 8.8 and created new student accounts on each PC and activated MS Office 2010.

Kinesiology and Health Lab

On May 30, Technical Services created an imaged for four PC's for the KHP lab. The imaged included MS Office, SPSS software and a configuration package of the Deep Freeze for the computers was added. Deep Freeze software helps maintain the life of the PC by managing updates during a scheduled thaw time and reboots daily to prevent any malicious threats by malware or virus.

College of Education

Technical Services created an image for 10 new computers for College of Education. The image included IT standard setup and also included McAfee 8.8, SPSS software and MS Office 2010. A new Deep Freeze configuration will be completed and installed on the 10 PC's to protect from virus and malware intrusions by the Technology Coordinator.

Theatre Box Office

On May 23, 2013, Technical Services inspected two PC's, from the Box Office for malware and virus intrusions. After running malware and virus free programs, the computers were cleaned from various findings.

Library All-in-One PC

Technical Services is working with Lenovo Support and our Lenovo rep on an issue with an all-in-one PC from the library. After replacing 4 parts in the unit, Lenovo has decided to send a replacement for the all-in-one computer. Since Lenovo has to build the replacement unit, the shipping date is set for June 6th.

Malone Art Lab

The week of June 3rd, Technical Services setup and configured 16 new iMacs for the Art lab in Malone 201. Configuration included the install of MS Office, Adobe Creative Suite Design and Web Premium software, setup and configured an Elmo Document camera along with an Epson ceiling mounted projector.

Library

On June 26, 2013, Technical Services completed the process of setting up 12 computers for staff members in the library. These laptops and desktops consisted of IT's normal setup with data transfer.

ESL Lab

On August 7, 2013, Technical Services replaced and completed the install of 19 new computers in the ESL lab. Also, configured Deep Freeze software on the PC's in order to help improve the security of each unit from viruses and malware. Some of the old PC's will be reconfigured to be used in other areas in Pace Hall, others will be stored in IT in case they are needed as replacements in different departments on campus.

Pace Hall

On August 16, Technical Services completed five desktop setups and data transfer for faculty members in ESL Department. Also, completed seven laptop setups and transfer of data as well for other staff in Pace Hall.

Placement Testing Lab

On September 6, 2013, Technical Services imaged and setup 22 computers in the Placement Testing Lab in Eldridge Hall. The setup included IT's standard process with Office 2010 and the PC's were completed with the install of Deep Freeze software and the configuration package.

College of Education Workflow Development (College of Education)

During the month of September 2013, eSystems continued working with representatives from the College of Education to develop an automated workflow for the Request for Use of College of Education Faculty Material form. Currently we are awaiting the workflow to be developed by the Web Team.

Records Workflow Development (Registrar)

On September 6, 2013, eSystems met with Vickie Miles and Jerri Carroll to discuss the development of an automated workflow for the Transient Authorization Form. Changes to the process were discussed and modifications to the form began. During the month of September 2013, eSystems continued to work on the development of an automated workflow for the Transient Authorization Form.

Stadium Tower Lab (College of Health and Human Services)

On Tuesday, September 24, 2013, Technical Services set up ten additional computers for the Stadium Tower Athletic Lab on the 3rd floor. This lab will be used by athletes to write papers, take tests, and conduct research. Also, Deep Freeze was configured and installed on the new computers.

Geomatics Lab (College of Arts & Sciences)

On Wednesday, September 25, 2013, Technical Services created an image and set up twenty new computers for the Geomatics Lab in MSCX. These computers will replace older, outdated computers. Students will be using the lab to learn and create maps utilizing the specialized software.

Student Support Services Lab (Center for Student Success)

On Friday, September 27, 2013, Technical Services imaged and set up nine new computers which included installing the new McAfee 8.8, Office and all updates. These computers replaced outdated computers and will be used for students to do homework, research, and testing. Also, Deep Freeze was configured and installed on the new computers.

Education Lab Upgrade

30 Lenovo All-in-one desktop computers where installed in Pitts Hall, P127. The computers are running Windows 7 and Office 2010 and provide a clutter free work environment.

Instructor Podium Equipment Upgrade

The instructor podium in Pitts Hall, Room P127 was upgraded with a Crestron switcher to allow instructors to easily change projector inputs from the podium desktop computer to the document camera with a push-button panel control. Additional input features where added to include HDMI input to the projector allowing for the use of Apple TV and the ability for instructors to connect their own laptops.

Digital Signage Upgrade

New Visix digital signs were installed in Pitts Hall allowing not only campus specific digital content to be displayed but the local weather forecast and CNN news RSS feed as well.

Montgomery Classroom Computers

Montgomery IT recently completed the upgrade of all classroom computers to Windows 7 and Office 2010.

Video Conferencing Classrooms

Video conferencing equipment from closed Troy locations in Colorado has been reinstalled in Atlanta and Columbus for classroom use.

Web

Activity Insight (Digital Measures) Update

The most recent import of faculty accounts, degree information and course information (scheduled teaching) from Datatel into Activity Insight has been completed. Users with new accounts that are having problems logging in, or that find their degree information requires further updates, may submit a Helpdesk for assistance.

Trojan One Stop

Administrative staff from multiple departments collaborated to create a new page for students that includes links to commonly accessed resources and news related to Records, Financial Aid, and Student Financial Services. IT staff used the provided information to create the page at http://trojan.troy.edu/one-stop/. The new page was published on July 17th.

 

Advancement & External Relations Division

Datatel

Ellucian Recruiter Implementation

The Recruiter software allows for personalized messages to be delivered to prospects through multiple medias and tracks. The software analyzes the performance of recruiting efforts and provides predictive modeling projections. The Troy Implementation team is working the week of 09/23/13 to prepare for configurations of communications needed for the onsite consulting visit in early October. IT is also working with the custom group from Ellucian to prepare the Troy Institution file clean up.

Networking

VPN Accounts

Continued work on VPN accounts for addition and removal for recruiters in the field.

Bandwidth

IT Networking is currently working with AT&T to see what increases can be made for bandwidth to the Development Building located on Hwy 231. AT&T will be submitting 2 proposals for evaluation.

Technical Services and eSystems

Alumni Affairs

On September 18, 2013, Technical Services completed the process of setting up four computers for staff members in the Alumni Affairs. These desktop setup consisted of IT's normal setup with data transfer, and included McAfee 8.8 and MS Office 2010.

Web

Military/Veterans Portal

The new Website representing the TROY for Troops Center was launched on July 17th. The portal services as a central point of information for prospective military/veteran students. The site is available at http://www.troy.edu/military/ and it is mobile-friendly.

www.troy.edu Transition

Last year the www.troy.edu Website was redesigned. The hosting and management was transferred to the third-party advertising firm. This summer IT was notified in advance that the contract with Troy University's advertising firm would end on September 30th. As a result, hosting of the site had to be transferred back to the Troy, AL Data Center. In addition, it was converted from a dynamic, Joomla CMS to a static Website that could operate within the security constraints of the IT Web server.
Members of the Web Team captured content from the externally hosted site and used the data to construct a new version of the Website that is functionally very different but appeared to visitors to be the same. Numerous problems with the previous site, including bad links and unnecessary Web pages (duplicated and out-of-date) were corrected prior to launch. After IT corrected critical issues and made the appropriate modifications the site was established on a server at the Troy, AL Data Center on September 20th and management/access to the site was provided to Marketing and Communication. In addition, the "troy.edu" domain was updated to forward visitors to "www.troy.edu". IT continues to provide Marketing and Communication with assistance and guidance for management of the site, as needed.

 

Finance & Business Affairs Division

Datatel

Vendor ACH

The Accounts Payable office has been working to pay vendors by direct deposit rather than by paper check. During the last test process the bank accepted the test file which was the last step in the testing phase. Kathy Bradshaw has requested that the bank move their test processes to production so that we can start using this process with 'Live' data. At this point we are waiting for a 'go' date from Kathy to move setup to live.

GL Chart of Accounts Conversion

Accounting Services has requested for the current general ledger number to be expanded. The current general ledger number of 15 digits will be expanded to 18 digits. A separate test account has been set up for just this project. A test conversion has been completed using all data and all fiscal years. This process took approximately 51 hours to complete. Accounting Services is now verifying data by comparing live 2012 data to GL Test Account 2012 data.

Synoptix

Synoptix is a self-serve financial reporting tool that will replace the current FRx software. IT and Accounting Services will begin the implementation of this software as soon as the General Ledger Conversion is complete. A scoping call is scheduled for September 13, 2013.

Financial Aid Shopping Sheet

The financial aid shopping sheet has now been implemented by the Financial Aid office and IT as part of the 2013/2014 awarding process. This tool was developed by the Department of Education for use by the Institution to notify students about their financial aid package. It is a standardized form that is designed to simplify the information that prospective students receive about costs and financial aid so that they can easily compare institutions and make informed decisions about where to attend school. 

FA-Link

FA-Link is a real-time, two-way interface allowing students to use Financial Aid and Sponsorship funds set up in Colleague directly at the bookstore cash register. Students may purchase their books as soon as they are registered for classes, or as soon as their campus rules allow. Charges are authorized in real-time and an invoice is created on the student account eliminating unnecessary work for Business Office staff. IT programming staff is currently working with Trimdata on business processes to finalize set up for testing.

Networking

Blackboard Card Management System Upgrade

IT Networking and Systems are currently planning a upgrade to the Blackboard Card Management System at the Troy Campus. This upgrade is to get the server and services compliant with the latest version of available coded software T03 from Blackboard. The tentative schedule for the upgrade is currently planned for the December break 2013, and to be completed by the time students return for Spring semester. IT is working with Blackboard to finalize all details associated with the upgrade.

Systems

Fax Server

Beginning July 2013, Systems implemented a new Fax Server for the Financial Aid Department. The fax server helps streamline several processes in Financial Aid. It eliminated the need to purchase paper, toner cartridges, and having an employee come in during the weekend to replace these items. Since all faxes are automatically converted to PDF and are placed in a central repository forms are easily managed and distributed to the proper person for processing. Once processed the forms are imported in the imaging system without the need of a scanner. Since implementation; 4,152 faxes totaling 18,905 pages have been processed. Currently Systems is working with Student Financial Services to start testing and implementation of the fax server for their area.

Document Imaging

Systems is currently working with the imaging vendor to implement three new applications for Accounts Payable and HR to store 1099,W2 and I9 forms.

Imaging Toolbar Test

Systems has been working closely with Financial Aid and our imaging vendor with testing of an add-on toolbar for the Document Imaging System. The toolbar will allow the user to retrieve supporting documents from the imaging system while they are working within WebUI. This will save the user time by eliminating the need to log into imaging and manually typing in the information twice to perform a search for a document.

Contract Reporting

Systems and eSystems is working with Student Financial Services on a solution possibly using the Parature CRM to maintain a list of University contracts that could be used to generate a report of when University contracts come up for renewal.

Technical Services and eSystems

Advanced Excel Training

During the month of August 2013, eSystems offered two hands on training sessions that covered advanced topics in Microsoft Excel. This training was offered at HR's request. In these training sessions we covered creating and using formulas and functions in addition to creating and managing pivot tables. We had approximately 40 individuals from across the University participate in these training sessions.

EchoSign - Automated Workflows

eSystems currently has two forms deployed through automated workflows that directly impact Finance and Business Affairs. These forms are the Leave Request and the Asset Pickup & Delivery. We are currently in the review process with several forms that would impact Finance and Business Affairs. They include: Faculty Pay Authorization, Employee Tuition Assistance, and Employee Dependent Tuition Assistance.

EchoSign MegaSign Portal

eSystems began development of an online Adjunct Contract in August 2012. Deployment began January 2013 with select colleges on the Troy, AL, campus. This process was fully deployed to all colleges and locations in June 2013. All adjunct and overload contracts are now being sent through the MegaSign Portal. Assistance with this process and managing of these contracts is provided to processors when requested. New accounts for processors are being set up when requested. Processing of these contracts were estimated at 5 months prior to online deployment. Currently the average time to complete the signature process on an adjunct contract is 4.02 days (including weekends). A reporting feature was deployed for the MegaSign Portal July 2013. This feature has allowed eSystems to easily run detailed reports on signed contracts for payroll. Reports are currently being sent to payroll on a weekly basis and the contracts in the report are being entered into payroll on a weekly basis.

TrojanTXT

On June 19, 2013, TrojanTXT (ExactTarget) was opened up for students to sign up for the service in conjunction with the new HERMES site. Since this time 2,034 individuals have signed up to receive TrojanTXT SMS messages. New registrations are being imported into ExactTarget on a daily basis.

Asset Management

On July 12, 2013, eight older Apple iMacs were re-formatted with no data installed by Technical Services for Asset Management. The older units will be part of Asset Management's upcoming sale/bid process. On July 18, Technical Services pulled hard drives from 8 more PC's and Mac's to assist Asset Management. The hard drives will be crushed and destroyed, and the shells will be part of Asset Management sale/bid process. On June 21, 2013, four older Apple iMacs were re-formatted with no data installed by Technical Services for Asset Management. The older units will be part of Asset Management's upcoming sale/bid process.

Athletic Department

On June 21, 2013, Technical Services completed the setup of three laptops for Athletics Department. These laptops will be used for Academic Services and student athlete usage within this department.

Security Camera System

The installation of a security camera system was completed at the Phenix City which covers all entrances to the Adams Administration building and the Student Center.

Student Services and Administration Division

Datatel

Judicial Affairs Project

The Judicial Affairs software provides instruction on how to record Judicial Affairs incidents in Colleague, including updating new information, scheduling hearings, recording hearing results, and closing the incident. The software also allows for tracking of disciplinary actions as a result of a Judicial Affairs incident, including how to enforce the actions. The set up for testing is currently complete for this project. IT is working with Student Services to test the software at this time.

Informer Reporting/Dashboard

Entrinsik Informer is an agile, web-based reporting business intelligence solution that integrates real-time data from multiple sources without requiring an ETL process. Informer's flexible, highly securable architecture performs queries against LIVE data from various source systems. IT is continuing to migrate existing reports to the Informer format. The Reporting Portal has also been established to house new Informer reports.  

Networking

Streaming Media Devices

After several requests and meeting with Herb Reeves, Networking is currently working on a way to allow streaming media devices such as Roku, AppleTV, App Enabled Blu-Ray Players, Smart TV's, etc.

Datatel Printers

Networking is currently evaluating different printer models for replacement of old and failing LP printers for Datatel.

Systems

Housing

Systems assisted Housing in setting up an import of Student ID photos from the Blackboard ID system into the Housing system. This allows Housing to quickly identify students and to assist University police to ensure campus safety

Blackboard

An upgrade is scheduled for Christmas 2013

Conduct Management

Systems is working with Student Services in evaluating software for Conduct Management Software.

Virtualized Server

Montgomery IT department recently installed a virtualized servers and Storage Area Network system. This will allow us to migrate several of our older servers to a more reliable and redundant environment with larger storage capacity. Some of our existing servers are over 10 years old and are running outdated programs.

Installation of Palo Alto Network Device

A Palo Alto device was installed on the Phenix City network to provide multiple threat prevention techniques which include file and content blocking and URL filtering.

Technical Services and eSystems

IT Lab

On May 29, 2913, Technical Services reconfigured 30 computers in the IT lab which included installing Visio and Project software and re-imaged one PC that was corrupt.

VBrick

On May 28, 2013, Technical Services scheduled and completed a campus visit, with a VBrick representative to complete the upgrade on the in-house testing equipment. Due to time restraints and classes in the testing room, the VBrick rep took the equipment back to his office to reconfigure and complete the upgrade. Vbrick is a streaming video solution that can capture live video content and distribute it over networks or devices, which will be used in classrooms.

Adobe Changes

On May 29, 2013, Technical Services and a Web team member hosted a meeting with our Adobe rep Rick Volkmann. He discussed upcoming changes within Adobe concerning licensing, their new Creative Cloud and Digital Publishing Suite (for publishing mobile apps). Some licenses are still available and some will be by subscriptions only.

Ellucian Meeting

On June 7, 2013, Technical Services setup and configured twelve computers and monitors in the IT Extended Area. Ellucian representatives will be using the area and equipment for a meeting and group work projects.

IRPE Lab

On June 20, 2013, Technical Services received 22 All-in-One PC's to set up for a new testing lab for IRPE. After an image was created, the computers were configured and completed on June 26, 2013 with MS Office 2010, the new McAfee 8.8 and IT settings. On July 11, 2013, Technical Services completed the setup of 22 All-in-One PC's for a new testing lab for Institutional Research, Planning and Effectiveness Department. The units were completed with the install of Deep Freeze software and the configuration package.

Secunia Software Testing

The week of July 8th and 15th, Technical Services assisted with testing a new Secunia software. The Secunia CSI is an authenticated internal vulnerability scanner, capable of assessing the security state of practically all legitimate programs running on Microsoft Windows platforms and supports scanning on PC, Apple Mac OSX, and Red Hat Enterprise Linux (RHEL) platforms.

Deep Freeze

The week of July 15, Technical Services started working on enhancing our Deep Freeze utilization process. Scripts have been written to allow additional updates to process during the thaw period. Testing the scripts in the Deep Freeze environment will continue as time permits.

Faronics Insight

On July 25, 2013, Technical Services installed Faronics Insight software in the IT Lab. The software will allow the teacher's console to monitor and control the lab computers, assist students with problems and communicate to the entire lab from one central computer.

IT Summit

On July 22, 2013, Technical Services conducted a technology inventory list of items needed for the upcoming Summit. For the week of August 5, 2013, Technical Services created images for laptops and desktops to get ready for the IT Summit in August. The computers were used in each class by presenters and participants, also were used in the Internet Café. The week of August 19th, Technical Services continued setting up and testing for Troy's annual 2013 IT summit. Once all testing was concluded, last minute preparations were completed for setting up the portable lab for participants to use, as well as set up the Internet Café, tables, projectors, microphones, and testing WebEx in each classroom. On Wednesday, August 28th, Troy University's IT Department hosted Troy's Annual IT Summit. Participants from around the country joined us here, in Troy, as well as online. The Summit lasted From Wednesday to Friday and covered a number of informative topics related to the IT field. This year's IT Summit went smoothly and was an overall success.

McAfee False Positive

On August 1, 2013, an issue arose with McAfee deleting items that should not have been deleted. The problems has been resolved with McAfee. However there were a number of computers here at Troy that were affected. Technical services checked and repaired the computers that were affected.

Microsoft Outlook 365 Meeting

On September 12, 2013, Technical Services attended a demonstration from Microsoft regarding Outlook 365.

Web

www.troy.edu Transition

Members of the Web Team captured content from the externally hosted site and used the data to construct a new version of the Website that is functionally very different but appeared to visitors to be the same. Numerous problems with the previous site, including bad links and unnecessary Web pages (duplicated and out-of-date) were corrected prior to launch. After IT corrected critical issues and made the appropriate modifications the site was established on a server at the Troy, AL Data Center on September 20th and management/access to the site was provided to Marketing and Communication. In addition, the "troy.edu" domain was updated to forward visitors to "www.troy.edu". IT continues to provide Marketing and Communication with assistance and guidance for management of the site, as needed.

Impulse Redesign

The Web Team is collaborating with the Networking division to provide an updated design for the Impulse authentication system (network authentication) pages. Updated Impulse pages will be mobile-friendly and also offer a more modern appearance that is aligned with current Web design principles.

IT Website Redesign

A redesign of the IT Website was launched on August 7th. The new edition of the site offers updated navigation paths and a responsive design. The previous version of the site was optimized only for desktop Web browsers. The responsive framework automatically changes the design of the site to offer a better experience for visitors regardless of the device used to access the Website. As a result the IT Website is mobile-friendly. The redesign can be viewed by visiting http://it.troy.edu
