Remote Productivity Tools

Troy University provides access to several tools that can be used to enhance productivity and collaboration from a distance. Capabilities include course delivery, document sharing and teleconferencing. The Helpdesk is available at the hours below. You can reach the Helpdesk by phone at 334-670-HELP (4357).

Working Securely from Anywhere

Using Troy University Remote Tools (No Local Storage Required)

Troy University provides a full set of web-based tools that allow you to perform your work without storing university data on your personal device. Using these tools helps protect sensitive information and keeps your workspace organized and compliant with university policy.

This guide walks you through a simple, secure approach to remote work.

Why Use Remote Tools?

When you work through TROY’s hosted systems:

  • Your data stays inside university systems, not on your device
  • You reduce the risk of data loss or exposure
  • You avoid complications related to device reviews or investigations
  • You maintain a clean and consistent work environment

Step 1: Start with Your Browser

All core university work can begin from a web browser (Chrome, Edge, Safari, etc.).

Go to:
https://it.troy.edu/remote/

From this page, you can access:

  • Email (Outlook Web)
  • Microsoft 365 apps (Word, Excel, PowerPoint online)
  • OneDrive and SharePoint
  • Canvas
  • Other university systems

Key Point:
You do not need to install software or download files to your device.

Step 2: Access Email and Files Safely

Email

Use Outlook Web Access instead of a local email client when possible.

  • Read and send email directly in your browser
  • Open attachments without downloading them

Files

Use OneDrive or SharePoint:

  • Open documents directly in the browser
  • Edit files using online Office apps
  • Save automatically to university storage

Avoid:

  • Downloading files to your desktop
  • Saving documents to personal folders

Step 3: Work Inside Applications (Not Outside Them)

Most work can be completed entirely within hosted systems:

  • Use Word Online / Excel Online instead of desktop apps
  • Use Canvas for course materials and communication
  • Use Teams (web version) for collaboration

This ensures:

  • Files remain centrally stored
  • Work is backed up automatically
  • No local copies are created

Step 4: Be Intentional About Downloads

Only download files when absolutely necessary.

If you must download:

  • Remove the file when finished
  • Do not store sensitive or protected data locally
  • Do not move files to personal cloud services

Step 5: Log Out and Close Your Session

When finished:

  • Log out of all university systems
  • Close your browser session

This is especially important on shared or personal devices.

Guidance for Adjunct Faculty

Adjunct faculty often rely on personal devices. The remote tools environment is designed specifically to support your work without requiring university-issued equipment.

For most teaching and administrative tasks:

  • Use Canvas for course delivery and communication
  • Use Outlook Web for email
  • Use OneDrive and Office Online for documents

By working entirely within these tools:

  • You avoid storing student information on your personal device
  • You reduce your exposure to data-related risks
  • You remain aligned with university policy requirements

If your work can be completed in a browser, that is the preferred and most secure approach.

A Simple Model to Follow

Do this:

Access → Work → Save → Log out (all within the browser)

Avoid this:

Download → Edit locally → Store on device → Forget to delete

Stay in the browser. Keep data in university systems. Avoid local storage.

Microsoft Teams is now available in Canvas.
Faculty and staff must login to the Helpdesk in order to access many of the help and service request links included below.

  • Who can access these tools?

    All tools listed above are available to faculty and staff and many are also available to students.

  • How do I gain access to these tools?

    All Microsoft 365 tools (including email, OneDrive and Teams) are already available to faculty and staff. Canvas access is available to all faculty and staff though only faculty certified in Canvas have access to courses. Access to AdobeSign and Spectrum must be requested via our Helpdesk.

  • How can I become certified in Canvas?

    Please submit your request via our Helpdesk.
